Transport & Logistics Unit

Safe, Reliable Movement

The safe, timely, and reliable movement of clients, staff, and materials is mission-critical. From daily therapy schedules to emergency supply runs, we ensure every journey is executed with precision and care.

What We Do

  • Provide safe client transportation to/from center, home, appointments
  • Coordinate daily vehicle schedules for therapy, home visits, events
  • Manage vehicle maintenance, cleanliness, and roadworthiness
  • Handle procurement logistics (supplies, equipment, groceries)
  • Execute ad-hoc logistical support for emergencies

Key Responsibilities

Daily Transport Scheduling & Dispatch

Optimize vehicle use and ensure punctual execution of all scheduled movements.

Procedures:

  • Receive and consolidate transport requests from all departments
  • Create master trip schedule, assign drivers and vehicles by priority
  • Brief drivers each morning on routes, client needs, schedules
  • Monitor trips in real-time and adjust for delays or urgent requests

Vehicle Maintenance & Safety Management

Maintain vehicles in prime condition, ensuring safety and minimizing downtime.

Procedures:

  • Conduct daily first-check inspections (fuel, oil, tires, cleanliness)
  • Schedule routine servicing per manufacturer specifications
  • Maintain vehicle logbooks (mileage, fuel, servicing, repairs)
  • Ensure all vehicle documents (insurance, license) are valid and accessible

Client Transport Duty of Care

Ensure the highest standard of safety and comfort for clients during transport.

Procedures:

  • Confirm client identity and review care notes before pickup
  • Utilize appropriate safety restraints (car seats, seatbelts)
  • Maintain calm, non-distracting vehicle environment
  • Report any transit incidents immediately to Operations Manager and case manager
Facilities & Asset Management Unit

Functional, Safe Environments

Our center, support residence, and equipment must be functional, safe, clean, and conducive to therapeutic care. We manage everything from electricity and plumbing to IT infrastructure and therapy equipment.

What We Do

  • Oversee daily upkeep, cleanliness, and security of all facilities
  • Manage inventory and maintenance of organizational assets
  • Coordinate repairs and liaise with external vendors
  • Ensure essential supplies are always in stock

Asset Register

We maintain a comprehensive digital asset register tracking every item, serial number, location, condition, and custodian with quarterly physical audits.

Daily Facility Operations

Open, secure, and maintain safe, welcoming environment daily.

  • Unlock facilities, disarm security at designated time
  • Conduct morning walk-through for maintenance issues
  • Supervise cleaning staff for hygiene protocols
  • Secure facility at close, lock all access points

Asset Register & Inventory

Maintain accurate records and ensure proper asset use.

  • Maintain digital register with full details
  • Conduct quarterly physical audits
  • Process equipment/repair requests
  • Manage checkout system for portable assets

Procurement & Vendors

Acquire goods and services efficiently with value for money.

  • Consolidate purchase requisitions
  • Source quotations from approved vendors
  • Coordinate delivery with Logistics Unit
  • Verify goods and process payment docs
Operational Support & Coordination Unit

Central Command

Led by the Operations Manager and Assistant, this unit is the central coordination, planning, and problem-solving hub. We bridge departmental requests with operational execution.

What We Do

  • Act as first point of contact for all operational requests
  • Plan and coordinate logistics for events, meetings, training
  • Manage Operations Team budget, petty cash, expenses
  • Develop operational policies, risk assessments, contingency plans

Seamless Coordination

Every operational request is logged, assessed for priority, assigned to the appropriate unit, and tracked through completion with weekly operations reports.

Request Triage & Task Allocation

Efficiently process all operational requests and ensure completion.

Procedures:

  • Monitor central operations request channel (email/portal)
  • Log all requests and assess priority (urgent vs routine)
  • Assign to appropriate unit or individual
  • Follow up on completion and confirm with requester
  • Maintain weekly operations report

Event & Meeting Logistics

Provide flawless logistical support for organizational events.

Procedures:

  • Meet with event leads to understand all requirements
  • Book venues, arrange setup/teardown of furniture and equipment
  • Coordinate transport and catering for attendees
  • Serve as on-site operational contact during event

Operational Safety & Compliance

Ensure safe working environment and regulatory compliance.

Procedures:

  • Conduct monthly safety inspections of facilities and vehicles
  • Ensure first-aid kits and fire extinguishers are stocked
  • Maintain and drill staff on emergency procedures (fire, security)
  • Keep all operational licenses and permits up to date
